Job Description

This assistant will be responsible for everyday support to the Purchasing Department, Brand Managers, Operations and Executive Management a needed.

 

Responsibilities

• Reconcile supplier and freight invoices.

• Follow up on pricing issues

• Assist both Distribution Centers with purchase orders, ensuring that PO’s are received appropriately and notifying purchasing supervisor of errors or missing documentation

• Provide weekly updates to Sales Team on products arriving during the week

• Items Maintenance: create new items, update front line and deal pricing, update ERP system when prices, descriptions or vintages need changes

• Track orders and freight; notify purchasing agent(s) when orders are not scheduled for pick up • Update dates for domestic products

• Attend purchasing, sales and operations (PSO) meetings

• Create purchase orders for Point-Of-Sale (POS); provide monthly update to POS in transfer planner; update POS files on network; ensure invoices are attached to purchase orders; update manual additions in transfer planner

• Update products on purchasing dashboard and review weekly to ensure appropriate product details

• Available to relieve front desk as needed

• Setup, maintain, and input allocations into ERP such as beer deal data pricing, aging report compilation, and unsaleable billback reports

• Manage incentive billback reports and other data management as needed

• Consolidate and assist with transfers between distribution centers

• Perform other duties as needed or assigned

 

Qualifications

REQUIRED

• High School Diploma or equivalent

• Excellent Customer Service skills

• Outstanding Verbal & Written Communication Skills

• Ability to multi-task with minimal errors

• Must be a team player and work well under minimal supervision

• Knowledge of safe work practices

PREFERRED

• Bachelor’s Degree in related field, or equivalent combination of education and work experience

• Previous experience in Encompass ERP highly preferred

• Proficient in MS Word, Excel and PowerPoint
